The basics
What does The Review Engine actually do?
Three things. It monitors every Google review across every clinic location you connect. It drafts a reply to each review in a tone trained on your past replies. And it puts your best reviews on your clinic website via an embeddable widget. You approve every reply before it posts.
Who is it built for?
Australian veterinary practices, single-clinic and multi-location. We're purpose-built for the guidelines and workflow of the vet industry in Australia. The product also works for dental, GP, and other local businesses, but our opinions and defaults are vet first.
Do I need to manage the clinic's Google profile?
Yes. You need to be the owner or manager of the Google profile for each clinic you want to connect. If your web agency or front desk manager holds it, either get them to add you, or invite them as a user inside The Review Engine.
How long does setup take?
Fifteen minutes for a single clinic. Half an hour for a multi-location group. The slowest bit is usually getting past the Google sign-in screen if your account has two-factor auth configured.
AI replies and tone
Will the AI replies sound robotic?
Not if you train it. Paste in 10 to 20 of your own past replies (from anywhere: Google, email, Facebook). The Review Engine extracts your voice and matches it. Most clients can't tell the AI draft from their own writing after a week of use. If you skip tone training we use a safe warm-but-clinical default.
Does the AI post automatically?
No. Every single reply goes through a human approval step. You read the draft, tweak if needed, click approve. That's when it posts to Google. We can enable scheduled auto-approval for 4 and 5 star reviews as an optional setting, with a 15-minute undo window, but it's off by default.
Can different clinics in our group have different voices?
Yes. Train a separate tone preset per clinic if your sites sound different from each other, or share one tone across the whole group. Up to you.
What if the AI drafts something I'd never say?
Edit it. Click approve. Repeat a few times and the system learns from your edits. Every edit you make feeds back into future drafts.
Compliance and ethics
Does The Review Engine ask clients for reviews?
No. We do not send review request SMS, emails, or in-clinic prompts. The product works only with reviews your clients choose to leave on their own. This is a deliberate choice for the veterinary and health-adjacent industries we serve.
What about the AVA Code of Professional Conduct?
The AVA Code and state Veterinary Practitioners Board guidelines restrict how vets use testimonials in advertising and the kinds of claims that can be made publicly. Every AI draft is checked against those rules. Drafts never make therapeutic claims, never solicit testimonials, and never disclose patient details.
Can I display Google reviews on my clinic website?
Yes. Displaying real reviews left on Google by your actual clients is permitted. The widget includes a compliance footer when your practice is set to vet mode. What's restricted is soliciting or editing those reviews, both of which The Review Engine never does.
What if a reviewer is clearly unfair or inaccurate?
The AI drafts a calm acknowledgement and invites the client to continue the conversation privately. It never argues in public, never discloses specifics, and never escalates. If you want to dispute the review with Google, that's still your choice and handled directly with Google.
Data, security, and privacy
Where is my data stored?
On managed Postgres in an AWS Sydney region, with row-level security scoping every query to your practice only. Your data is isolated from every other customer at the database layer.
What about Google OAuth tokens?
Your Google refresh token is encrypted at rest with AES-256-GCM. The key lives in Vercel's managed secret store. We never ship the token to the browser and never share it with any third party.
Who can see our reviews inside your system?
Only users you invite to your practice account. Your team sees what you grant them, per clinic if you want. Our support staff only access your account with your explicit written permission during a support ticket.
What happens if we cancel?
You can export all of your reviews and reply history from the billing page before you cancel. After cancellation we keep your data for 30 days in case you change your mind, then permanently delete it.
Pricing and billing
How does the free trial work?
14 days, full product, no credit card at signup. At day 14 we ask you to add a card to continue. If you don't, your account pauses. No auto-charge surprises.
Can I change my number of clinics mid-billing-period?
Yes. Add or remove locations anytime. We pro-rate.
What currency are you billed in?
Australian Dollars, GST inclusive. A tax invoice is emailed after every payment.
Posting replies back to Google
Can The Review Engine post replies back to Google automatically?
Yes. Once your clinic is connected, every reply you approve can post directly to your Google profile. During your first weeks on the platform we may ask you to copy-paste one or two replies while the final connection is being provisioned. After that, approved replies post in seconds.
Do I need to apply for anything?
No. We handle all the backend plumbing. You just sign in with your Google account when you set up your clinics.
